As a last resort to make sure an attendee can join the event, please share your Teams Meeting Presenter link with the attendee. Please ensure to CC your PM or pbipartnerevents@microsoft.com (for DIAD/FAIAD workshops) / pappspartnerevents@microsoft.com (for AIAD, CSIAD, AuIAD, PPIAD workshops) on the email where you share your Teams Meeting Presenter link with the attendee so that we can update their check-in status right away. Attendance must be updated within 24 hours of the event or attendees who did not use their unique link to join the workshop remain as “not checked-in” and will receive the “Sorry we missed you” email at 5:00pm the day after the event.

Actively promote the Post Event survey throughout your event and include a reminder in your post-event email. E.g: Please share your feedback! You received an email titled “Thank you for Attending” from Microsoft (notification@msftevents.microsoft.com) following the end of our workshop at 5:00pm. This email contains your unique Survey link. Please take a few moments to complete survey, as your feedback is greatly valued and critical to improving these workshops. To thank you for your time to complete this Survey, we will send you a Certificate of Completion from this workshop!

Check the person’s role and consider keeping them. Otherwise, deny them and communicate that this is a customer event
  • E.g. Thank you for your registration. This training is intended for customers. As a Microsoft partner or consultant looking to get trained, please contact xiadevents@microsoft.com.
     

If you decline an attendee for your event, Microsoft will send a generic denied email. However, we have created a customizable template that you can use to inform them, in addition to the Microsoft denial email. This template helps you stay in touch with your attendees, provide information about upcoming events, and offer alternative resources such as links to learning paths and blogs related as per offer type.
 

It’s up to your discretion to accept walk-ins (space permitting) after confirmed attendees have arrived. Be mindful whether they are on the waitlist and were told they can come standby; they were denied; or showed up without registering.

Many Microsoft locations require a full time MS employee sponsor to be onsite for the duration of your event. While your XiaD event PM can help book the Microsoft office, you may be responsible for providing a local Microsoft contact who can support you the day of (i.e., PDM, CSA, CSM or other MS FTE).

No, recording is not permitted for XiaD events. This is a privacy risk as Attendee information is visible to all during the workshop. You can provide the customer with a pdf of your presentation and any other resources. As well, they have the student content.

Prioritize individuals that you think will benefit most
  • Reach out advising there is a large waitlist, and you would like to prioritize individuals that will benefit the most.
  • Inform that only 2-3 individuals from 1 organization will be accommodated and present offer for private/onsite training
     

The Polls app within Teams is not available, as only the Teams Meeting Organizer can add applications. You can create polls via Microsoft Forms to share in the chat of your teams meeting for attendees to complete.

The seat capacity you are selecting will be your target attendance, and your registration page will allow a registration capacity of 3x your seat capacity to register before closing. For example, if you select 10 as your seat capacity, the system will allow 30 registrations before it meets your registration capacity and closes your registration page.

The teams meeting feature for break out rooms is not available, as only the Teams Meeting Organizer can create break out rooms. Instead, and as a recommended best practice, you can create other Teams Meetings (in your own calendar) and share the “link to Join” in the Chat during the workshop to organize “break out rooms” and manage groups. When attendees use your “link to join” from chat of the primary Teams Meeting for the workshop, it will put the primary Teams Meeting on Hold and direct the attendees to the other “break out room”

This is a great indication that this customer has a high interest in this offer type and that tailored private training sessions may be more suitable. We have created templates for you to inform the customer about the limited availability of this event and to extend an invitation for private training opportunities. These templates will ensure clear communication and help provide a more personalized experience.

Unique Teams Meeting links are sent to all approved registrants to join your workshop 3 times before your event:
  1. In the Registration Confirmation email – Sent to the registrant when you Approve their registration
  2. In the 1st Reminder Email – Sent to the registrant 3 days before the event
  3. In the 2nd Reminder Email – Sent to the registrant 1 day before the event
If an attendee reaches out to you for their link to join, direct them to find it in the most recent communications they would have received from Microsoft based on the above email cadence.
E.g. You will find your unique Teams Meeting link to join the workshop from Microsoft in your Registration Confirmation Email. You will also receive Reminder Emails with the link again 3 days before the workshop, and the day before the workshop. The emails will be sent from No Reply – MS Event Notification notification@msftevents.microsoft.com, and the link will be embedded in the “Click here to join the digital event” text. Please check spam and junk folders. If you are still unable to locate your link to join the workshop, please email pbipartnerevents@microsoft.com (for DIAD/FAIAD workshops) / pappspartnerevents@microsoft.com (for AIAD, CSIAD, AuIAD, PPIAD workshops).

Using a personal email does not necessarily indicate that an attendee is not a potential lead. Some attendees may choose to use their personal email address for various reasons. Therefore, we recommend sending an email prior to approving/declining that includes a survey or questionnaire to gather more detailed information including their business email.

Yes, in some cases, we can book a room in a Microsoft facility for you to deliver your in-person event. Microsoft facilities will be set up in classroom style, with audio visual and wifi code. Alternatively, you might consider delivering the event at your own office facility.

You can request your in-person event in the XiaD Partner Event Tool under Events Dashboard ‘Request new Event’ (top right). Select ‘inperson’ for event modality and add the complete venue address into additional info unless you have already provided.

You will need to manually “Check-in” all attendees in the Event Management App Portal in the “Check-in” tab. This must be completed within 24 hours of the event, so the appropriate post-event communications are sent.

Your room should accommodate students in a classroom configuration setup. You are encouraged to print all lab content for students unless you are providing a second screen to follow the labs. You are responsible for providing lunch & beverages, as this is a full day event (in addition, light snacks/coffee are suggested, but optional). You will need to provide full venue address to your events PM, to ensure this information is successfully replicated on registration pages and customer communications.

No, there are no subsidies available currently.

Being more thoughtful about potentially accepting some of these customers may prove to be a good opportunity if you are interested in
expanding globally. Taking a more holistic look at the contact may turn an automatic decline into a potentially good lead! Things to consider:
  • The registrant might be from a global company and/or a company that has offices in your country.
  • The registrant might be the link needed to the decision maker.
  • The registrant may be working remotely from a different geography but for a company HQ in your local area
  • If you do connect with this attendee, can you do business in their country?
